- A comprehensive CV;
- Certified copies of qualifications;
- Names, e-mail addresses and telephone details of three referees whom we have permission to contact.RESPONSIBILITIES:The Incumbent will be responsible for:
- Office management, administration, secretarial and reception duties;
- Supporting the work of the UDE Manager in physical and virtual spaces, and create a welcoming work and office environment in both spaces;
- Ensuring all financial records are kept and updated;
- Ensuring that requisitions are completed and credited against the correct cost centres;
- Ensuring that travel allowances are paid prior to departure;
- Ensuring that all travel documents are submitted on time;
- Arranging for printing, stamping and checking of degree and diploma certificates;
- Arranging degree and diploma certificates and cards in programme order;
- Rendering service during graduation ceremonies: Autumn and Spring – according to the Academic Administration’s work allocations programme;
- Providing support to the Manager when required;
- Assisting staff with secretarial support (Minute taking);
- Providing support to students regarding information such as lecture halls, timetabling;
- Supporting research assistants and new staff;
- Managing of databases;
- Assisting the Manager with Budget control.
- Grade 12 or Matric with five years’ relevant experience or;
- A relevant National Diploma with three years’ relevant experience.
REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):
- Computer literacy and computer packages;
- Budget Control;
- Diary Management;
- Databases and document management;
- Informed about faculty activities and knowledge of department and organisations;
- Knowledge of office equipment and telephone systems;
- Appropriate policies including financial policy and processes (claims, daily allowance);
- Problem solving;
- Time management;
- Relationship building;
- Creative and innovative ability;
- Decision making;
- Strong language skills both written and oral;
- People orientated;
- Communication skills across cultural boundaries;
- Ability to function independently;
- MS Office and Google Suite of products;
- Comfortable with working on virtual platforms.
ADDED ADVANTAGES AND PREFERENCES:
- Bachelor’s Degree in Administration and Office Management;
- Three years Administrative experience preferably in a Tertiary education environment;
- Good written and oral communication skills in English;
- Computer Literacy skills;
- Experience in a wide range of online virtual conferencing platforms such as Google Meet, Zoom, MS Office Teams.

The annual remuneration package will be commensurate with the incumbent’s level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
